Cover Note – Invitation to Tender for Facility Management Services
The Tender Committee of YAHAVI (Oak CHS, Pine CHS, Teak CHS) hereby invites reputed Facility Management (FM)
service providers to participate in the tendering process for comprehensive facility management services of our premises.
The process will be conducted in the following stages:
- Pre-Bid Meeting:All interested FM service companies are invited to attend the pre-bid meeting, details of which will be announced through a press note. This meeting will provide an overview of the scope of services, tender process, and clarification of queries.
- Tender Document Purchase:From the day following the pre-bid meeting, tender documents will be available for purchase at a cost of ₹1,500 + 18% GST. Only those companies that have purchased the tender document are eligible to participate further and submit their bids.
- Independent Survey by Bidders:After obtaining the tender document, participating companies must conduct a detailed survey of the site. Each bidder is required to note every asset, service requirement, and task to be performed during this survey.
- Submission of Survey Form:As a mandatory step, bidders must submit a copy of their completed survey form to the society office. This ensures that all companies participating in the tender have a thorough understanding of the assets and services involved.
- Technical Evaluation:Tender submissions will first be evaluated on technical parameters. Only those meeting the minimum technical requirements will be considered for the next stage.
- Financial Bid Opening:Upon successful completion of the technical evaluation, the financial bids of qualified companies will be opened for final consideration.
